Chapters

Search for a Chapter

From the main menu, click "Membership" and select "Chapters". This will bring you to the Chapters list.

You can search for chapters in two ways:

Search For Tool

Search For tool allows you to search by one criterion.

  1. Select the search criteria you wish to search by and enter the search.

Quick Find

Quick Find tool allows you to search by more criteria or multiple criteria simultaneously.

  1. Fill in the criteria you wish to search by and select "Search" to generate the list.

View a Chapter

  1. To open a chapter record, first search for the chapter you wish to view and click the Chapter CD.

  2. This will open the chapter record.

Chapter Tabs

The tabs along the top of the Chapter record store information on that chapter.

  1. Profile Tab

    Chapters

    • You have many field options you can fill out.

    • You can attach the chapter to an Organization using the 'Search Organizations' button to find and attach the organization you wish to link to the chapter. The chapter will appear in the Organization record under the Chapters Tab.

    • You can attach an individual as the primary contact.

  2. Chapters Tab

    • This is a list of committee members. You can track chapter officers on a committee having the same committeecd as the chapter's chaptercd.

    • The committee is automatically created when you create the chapter.

  3. Active Members Tab

    Chapters

    • This is a list of active members in the chapter.

    • Criteria is different depending on the type of chapter management.

  4. Lapsed Members Tab

    Chapters

    • This is a list of individuals who are no longer active in the chapter.

    • Criteria is different depending on the type of chapter management.

  5. New Members Tab

    Chapters

    • This is a list of individuals who are active in the chapter and joined recently.

    • Criteria is different depending on the type of chapter management.

  6. Chapter Dashboards

    Chapters

    • You can add embedded chapter dashboards to the chapter record from the Notebook Editor. To learn more about adding fields and tabs to a notebook, go to the Notebook Editor Guide.

Add a New Chapter

  1. To add a new chapter, select 'Add Chapter' from the Activity Panel on the right.

  2. This will open a blank chapter record. Fill out the appropriate fields on the Profile Tab and select 'Add Chapter.'

Chapters as Member Benefit vs. Managing Chapter Memberships

In CV, chapters can be managed in two main ways — as a member benefit or as independent chapter memberships.

CV Online Settings

The setup is determined by the system setting MULTICHAPTER (Y/N).

Chapters as a Member Benefit

This setup is the simplest and is used when chapter assignment is a benefit of association membership. In this case, CV simply tracks which chapter(s) each member belongs to, without managing separate chapter membership records.

When To Use

Choose this option when:

  • Each member automatically belongs to a chapter as part of their membership.

  • There are no special criteria or extra data to track about their chapter participation.

When Not to Use

Avoid this setup if:

  • Individuals can belong to a chapter without being a member of the association.

  • You need to track detailed information about chapter membership (e.g., pending/active status, roles, GPA, comments, etc.).

How it Works

Members are linked to chapters using the fields Chapter and Alt Chapter on the Individual Notebook. When these fields are updated, CV creates a history record under the Individual Notebook's "Chapters" history tab.

Managing Membership in Chapters

This setup provides advanced chapter management. It's used when you need to track detailed chapter membership data or when people can join multiple or independent chapters.

When To Use

Choose this option when:

  • Members can belong to more than two chapters.
  • People can join a chapter without being association members.
  • You need to track specific chapter data — such as GPA, roles, comments, or approval status.

Recommended Configuration

To prevent duplicate or conflicting data:

  • Hide the Primary Chapter and Alternate Chapter fields on the Individual Notebook and list view. These fields are independent from the Chapter Members list and can create inconsistencies.
    • Editing them will automatically add or modify records in the Chapter Members list.
    • This can result in the same person appearing multiple times in the Chapter Members list.

Instead, manage chapter relationships using:

  • Chapter notebook > Members tab

  • Individual notebook > Chapters tab

Chapter Dues Setup

To set up chapter dues:

  1. From the main menu, click "Services" and select "Memberships".

  2. Click "Add Dues/Subs/Dons" button on the activity panel.

  3. In the "Category" field, select the option "Chapters" and then choose the chapter record in the "Linked Com/Chp" field.

  4. Fill in all the required and applicable fields. For more information on how to fill out this type of notebook see the Membership Guide guide.

  5. Click the "Save" button to save the record.

Chapter Dues Renewal

Chapter dues are automatically added to renewals when certain conditions are met. The rules differ depending on your setup.

Schedule-Based Renewals

Single Chapter Setup

Chapter dues will be included if:

  • The chapter or alternate chapter listed on the individual notebook is linked to a chapter that charges dues.

Multi-Chapter Setup

Chapter dues will be included if:

  • The person being renewed has an active chapter membership.

AND

  • The chapter membership end date is:
    • Falls within the date range you are renewing for. OR
    • The end date has not been entered or set.

Renew-From-History and EZPay Renewals

For renewals generated from history or EZPay, chapter dues will be included if the member was previously billed for those same chapter dues during the renewal period.

Event Pricing for Chapter Members

Event pricing for chapter members is available for both models of chapter membership (member benefit or full chapter membership).

To link a chapter membership to an event price type:

  1. Locate the event you wish to add the chapter membership price to.

  2. From the event notebook, select the "Prices" tab.

  3. Add a new price or click into an existing price to link the chapter membership to the price type.

  4. Select "Chapter" from the category dropdown and find the corresponding chapter from the "MemTyp/ComCd" dropdown.

  5. This will allow only active chapter memberships from the linked chapter to receive this price type when registering. For more on how to add events prices, see the Price Types guide guide.
