The American Waterways Operators Automate Processes with ClearVantage

AWO Leverages ClearVantage to Integrate Certification Program & Digitize Its Equipment Reporting

 

The American Waterways Operators (AWO) is the national advocate for the U.S. tugboat, towboat and barge industry. Its members move the nation’s cargo safely and efficiently through all of America’s waterways – including its rivers, lakes, coasts, and harbors.

AWO wanted to use ClearVantage to streamline two of its internal business processes: integration of a safety management certification program into membership and digitizing its equipment reporting for its members. 

Automated Tracking and Integration of Safety Program into Membership

AWO offers three types of membership: sole proprietor, affiliate, and carrier. Carrier members are organizations that own or operate tugs, tows, or barges. To qualify for membership, carrier members must maintain a Responsible Carrier Program (RCP) certification (or equivalent safety management system certification such as adherence to the ISM Code) that ensures all RCP-specific requirements are identified and audited accordingly. RCP is a US Coast Guard-approved towing safety management system (TSMS) under Subchapter M that outlines the rules and regulations for safe vessel operation. Maintaining a safety certification through third-party audited compliance is a condition of AWO membership for carrier members.

Before ClearVantage, AWO tracked the RCP audit and renewal dates manually, which cost a great deal of time and effort. AWO wanted a system capable of automating RCP tracking and integrating RCP requirements into its membership database.

When AWO became a Euclid client, the Euclid team configured AWO’s business processes into ClearVantage so that the system incorporated RCP tracking into carrier membership. A few of the many automated processes that Euclid set up for AWO in ClearVantage include:

  • Tracking safety certification deadlines for each organization based on last audit dates;
  • Automatically sending out up to 15 customized email reminders depending on which audit cycle a member was in, and where they were in that cycle;
  • Automatically updating RCP and membership status according to outlined requirements for each, and push a directory of members to their website so that third parties, such as the U.S. Coast Guard, could verify each carrier member’s safety certification status.

Digitize Equipment Reporting

AWO also wanted to address the cumbersome equipment reporting process for its members. Each year, AWO carrier members must submit a comprehensive report that includes specific data on their fleets of vessels. Carrier members have fleets of varying sizes, ranging from one vessel to over a hundred vessels. Before ClearVantage, AWO mailed paper copies of equipment forms to members who manually completed their vessel lists before mailing the forms back to AWO. During implementation, the Euclid team digitized the equipment reporting process as follows:

  • Members can now report and update their vessel inventories online;
  • Euclid set up web forms that save, store, and pre-populate data year-over-year;
  • Functionality also allows for the entry of multiple vessel types on a single form.

End result? Euclid successfully streamlined AWO’s process for submitting equipment reports. Instead of a time-consuming, cumbersome reporting process, members are now presented with a user-friendly web form that allows them to easily review and update pre-populated data.
